SPAR North Rand, a division of The SPAR Group Ltd, is recruiting for a Supervisor at its Distribution Centre, located in Olifantsfontein. PURPOSE OF THE POSITION To ensure the most effective, efficient, and accurate preparation of all export documentation, whilst ensuring that the Cross-Border operation is done in the most cost-effective manner possible, including labor cost and staff utilization and maintaining strict adherence to export procedure and the best operating practice.

Job description
  • To minimize shortages and truck damages to not exceed targets
  • To have proper control on absenteeism, training needs, overtime, and leave days
  • Ensure that the Cross-Border dispatch floor operation is done in the most cost-effective manner possible, including labor cost and staff utilization
  • Attend Cross-Border meeting will all role players including in Export Countries
  • Allocation of check-sheets to all loaders
  • Allocation of trailers on the AS400 system
  • Monitor loading time and report to the Cross-Border Team Leader
  • Communicate closed loading route and time to the Cross-Border Team Leader and Comms Centre
  • Ensure the correct documentation is received from the comms center verifying totals against the check-sheet
  • Ensure route trip sheet and gate pass is correctly filled out taking into consideration the correct fleet allocation
  • Ensure correct seals are allocated per trip on all vehicles
  • Ensure all clearing/Store documentation is allocated prior to handing over to the Transporter/Driver
  • Prepare daily loading stats
  • Prepare asset registers
  • Complete dispatch section on the daily loading plan and send to Cross-Border team leader
  • Keep daily tracking spreadsheet on Unloaded Containers
  • Monitor stock in different warehouses
  • Debrief transporter on Returns of POD’s, make copies for a file and hand originals back to the transporter
  • Send additional copies to Admin team leader
  • Ensure stock is aligned before loading
  • Checking and attending to stock/pallet condition
  • Loading of Vehicles/Trailers within two hours per load
  • All pallets found with damages need to be reported to inventory and handed over to their office
  • Check needs to commence to ensure pallets are loaded correctly on the truck
  • Documentation to be completed and handed over within one hour after loaded per truck
  • Clearance to be done after re-confirming of the Driver, Vehicle, and Trailer
  • Clearance to be done via Shipshape, XportR, and any other system that may come into play
  • Continues clearance system check for queries
  • All Dry-goods stock including liquor and cigarettes to be cross docks the night before.
  • Liquor and cigarettes must be kept in the 504 cages
  • Any pallets that could not be cross-docked due to volume needs to be done on the next shift
  • Checks need to be completed to ensure pallets will not fall over in transit
  •  All pallets are securely wrapped
  • Pallets and space are fully utilized on the truck
  • Must verify the load on TRSP before invoicing. Report all T/Follows
  • If any additional stock was loaded, the custdocs or manual entries must be created and uploaded (Equipment, Liquor, Drop shipment) onto the clearing systems
  • All correct custdocs must be uploaded onto shipshape/XportR
  • Invoice and custdocs to be compared before processing the custdocs
  • Housekeeping is done before the end of shift – Cross-docking is part of housekeeping
Minimum requirements
  • Pre-requisite National Senior Certificate (Matric)
  • Logistics and Supply Chain qualification will be advantageous
  • 2-3 years experience
  • AS400 working experience (Compulsory)
  • Previous handling of export documentation and Cross-Border EDI systems essential
  • Methodical
  • Strong personality coupled with organization skills
  • Must be Computer literate
  • Good communication and interpersonal skills
  • Highly goal orientated and analytical
  • Must show initiative
  • Ability to work independently & self-motivated
  • Own Transport and valid driver’s license
  • Must be able to work under extreme pressure
  • Ability to work shifts and weekends
  • Must be able to work independently and work with a Team
